Processing orders with 'Parcel stamps via bol'

1. Receiving an order with 'Parcel stamps via bol'

This service allows you to purchase shipping stamps for shipments via Bpost and PostNL. You can find an overview of the costs of the different stamps here.

  1. Receiving the order: You and the customer both receive an order confirmation by e-mail.
  2. Order will be checked: First we check the order. If everything is alright, then the order appears in your seller dashboard.
  3. Opening order: You can find this new order, just like all your other orders, at the menu item ‘Bestellingen’.
  4. Processing order: Is the item in stock? Then process the order as soon as possible, following the steps below:

2. Go to the 'Bestellingen' page in your seller dashboard

3. Click ‘Openstaand’

4. Choose ‘Parcel stamps via bol’

5. Processing multiple orders at once? There are 2 options:

  1. To process all open orders, click ‘selecteer items uit de lijst..‘. You can process a maximum of 25 orders at once (see the image below).
  2. To process a specific selection of orders, check the orders individually.

6. Select a delivery service

  1. Select the delivery service and type of stamp you want to send the order with. The delivery services and type of stamps you see here depend on the country you are sending the order from and to. You will find an overview of the costs of the different stamps here.
  2. Enter a reference for your own administration (not obligatory).
  3. Click ‘Ga naar samenvatting’.

7. Confirm shipment

Click on ‘Verzending bevestigen’.

Only do this if you are actually going to ship the item to the customer. Once the order has been confirmed and the shipping stamp is created, you cannot reverse this. The cost for this will be deducted from the all-in-1 invoice. Once you confirm, the customer will automatically receive an e-mail containing details on the track & trace, delivery service and expected delivery date.

8. Download packing slips (optional) and shipping stamps

You can download the packing slip and shipping stamp of each order as a PDF file in your seller dashboard. There are 3 different ways to do this:

  1. After confirming the order in ‘De samenvatting’, via the button ‘Download pakbonnen’ and ‘Download pakketzegels’.
  2. At ‘Bestellingen’, via the tab ‘Openstaand’ – here you can download them individually or all at once via the ‘Download alle pakbonnen’ button.
  3. In ‘Bestellingen’, via the ‘Verzonden’ tab – here you can download them per order.

A packing slip is not a proof of guarantee, nor an invoice and is intended to provide information about the order, such as:

  • The buyer’s delivery address
  • The item ordered
  • The selling price
  • Return instructions
  • A review request
  • Contact details for enquiries

When the order number is mentioned on the shipping stamp, it is not mandatory to send the packing slip along. You can view an example of a packing slip here.

9. Print out the parcel stamps and packing slips

  1. Print out the shipping stamp of each order.
  2. Stick it on the parcel.
    Note: make sure the barcode of the shipping stamp is easy for us to scan and not obstructed. The barcode should be fully printed and not covered by any tape or foil.
  3. Deliver the parcel on time to a delivery service drop-off point.
    Note: choose high-quality packaging in which the item cannot move and is protected against damage. This ensures the customer receives it in great condition. Let’s make our customers happy!

10. Ready! What's next?

As soon as the order is confirmed, the customer automatically receives an e-mail with the track & trace number and the expected delivery date. You can check the details of the tracking by clicking on it, at the tab ‘Verzonden’.
