Adding multiple items via Excel

On this page, you will find a step-by-step plan on how to add multiple items to your product range simultaneously via Excel.

Adding multiple items via Excel

1

Download the Excel file

Please note!

Before you add the items you want to sell to your seller account, please check the following: Are the items suitable for selling via bol? Do you have an ISBN or EAN for each item? Yes? Great, then you can get started!

In your seller account, go to 'Items' and choose 'Manage offers via Excel'. Under the heading 'Download offers', you can download your existing offer by clicking the 'Download' button.

If you don't have any offers online yet, the document will be empty, and you can use it as a template to fill in your new offer.

Open the Excel file

Once you have downloaded the Excel file, open it. The file contains 2 tabs: in the tab 'bol item import help v2.3' you can edit your current offer or add your new offer. In the 'Explanation' tab, you can find out what the different columns mean.

3

Add your items

In the tab 'bol item import help v2.3', add your offer. Fill in at least the following fields to put your offer up for sale:

With the following minimum data, your item can be put up for sale:

  • EAN

The 13-digit EAN or ISBN of your item.

  • Condition

The condition of your item is always new, unless you sell second-hand items. However, this is only possible for media items.

  • Stock

Stock you have available (automatically updated when you have sold an item via bol).

  • Price

The selling price at which you offer the item.

  • Fulfilment by

The delivery method of the item. This can be by the partner themselves, or by bol through the Shipping via bol service.

  • Deliverycode

The delivery time of the item.

The following data are optional:

  • Reference

Reference code for your own use.

  • Offer description

An explanation of the item's condition – this applies only to second-hand items.

  • For sale

Here you can indicate whether you want to put the item up for sale. If you leave this blank, the item will automatically be put up for sale.

  • Title

For items not yet known to bol, this title will be saved. This title makes it easier to create new items at bol. We therefore recommend filling in this field if you suspect you want to offer items not yet known to bol.

Please note!

Make sure your file contains at least 1 item; if your file contains no items, your upload will fail.

Please note!

When using 'Manage offers via Excel', we only allow version 'v.2.3' of the Excel file. You can find the version number in cell A2 of your Excel file. To use 'v.2.3', download the file from the page using the download button and use this file for your upload.

4

Upload the Excel file

Once you have filled in all the data, save the Excel file in the correct file format (.xlsx).

Please note!

Did you already have offers online? This Excel file will overwrite them. Therefore, ensure the file is complete and always upload your full offer.

Then upload the file under the heading 'Upload your offer' using the blue button 'Upload Excel file'.

Under 'Upload your offer', the status of your most recent upload will appear within half an hour. You will see, among other things:

  • How many rows have been processed.
  • How many error messages there are.
  • How many items have been created and how many items have been modified.

To update the status, click the refresh button.

Download feedback

Under the heading 'Download feedback', you can download a report of your last upload. This file only contains items that are not for sale and indicates for each item why it is not for sale.

One reason could be 'ISBN/EAN is invalid'; then check if your EAN is registered and consists of 13 digits. Another reason could be 'You cannot sell items with this delivery code'; then check the entered delivery promise. For Shipping via bol, your item must meet certain conditions.

The offers that have been successfully processed will soon be online and can be found in the SDD under 'My items'.

Adding items in bulk vs. Managing your offer in Excel

You can add your offers in bulk to your seller account in two ways: via Manage offers via Excel (as discussed above) or via Add items in bulk. What is the difference between these two?

  1. Manage offers in Excel: The file you upload overwrites all existing product range: if you have 100 items online and you upload 100 items via 'Manage offers in Excel', then after the upload, only the 100 new items from your Excel upload will be online.
  2. Add items in bulk: The file you upload adds your items to your existing product range. If you already have 100 items online and you add 100 items via 'Add items in bulk', then you will have 200 items online.

When to use which option?

  • You use Manage offers in Excel to adjust your current product range, such as changing the price, delivery promise, or stock, and/or for removing items by not including them in your file.
  • You use Add items in bulk to add new items (without overwriting your existing product range).
