Sales Invoice
When an order is placed, the customer pays bol, and you then receive the sales amount from us, with the incurred costs deducted. An overview of all revenue and expenses can be found on your Sales Invoice, which you receive each invoice period in your seller account.
The Sales Invoice
The Sales Invoice consolidates the payouts for your orders. For each invoice period, it sums up the revenue from your orders and directly deducts expenses like commissions or shipping labels. Any returns are settled in the invoice period when you process an item return. Below are two examples of sales invoices:
If you want more insight into your Sales Invoice, you can download the corresponding invoice specification. You can find your Sales Invoice in your seller account, under the ‘Finances’ menu.
Invoice Settlement
On the first day of each invoice period (monthly or every 2 weeks), you will receive your Sales Invoice in your seller account; this invoice covers the previous invoice period. On the next business day after you receive this invoice, the outstanding amount will be paid out to you. Depending on the bank's processing time, it may take up to 3 days for the payout to appear in your account.
If you have outstanding invoices at the beginning of the invoice period, these will be settled with your Sales Invoice. You will receive the difference as a payout to your bank account. It is possible that a higher amount is outstanding than the revenue you earned in that period. If this is the case at the beginning of the new invoice period, the payout of your earnings will be postponed. This means you will not receive a payout because settlement is not possible. Settlement will be possible again if:
- Your revenue is higher than the outstanding invoices
- You manually transfer the outstanding invoices to bol
- You only transfer the settled amount, i.e., the difference, to bol
If settlement has occurred, you can find the explanation via your invoice specification.
Please note!
On the first or 15th day of the month (depending on the chosen payout schedule), the invoice is finalized. The invoice will then disappear from your seller account for a few hours. Around noon, the invoice will be available again.
Costs Incurred
Costs incurred is the sum of **all costs** made during the invoice period. These costs are, of course, related to using bol.
- Commission
For each item you sell, you pay a commission, consisting of a fixed amount and a percentage of the selling price. - Commission correction
If a customer has returned an item or a shipment has been lost, the previously charged commission will be corrected. - Pick&pack costs
Costs are charged per item for picking and packing it. - Pick&pack costs correction
If a shipment or return has been lost, or if we sent the wrong item, the previously charged costs will be corrected. - Shipping costs
Costs are charged per order for shipping it. - Shipping costs correction
If a shipment or return has been lost, or if we sent the wrong item, the previously charged costs will be corrected. - Stock costs
Costs are charged per day and per EAN for storing your product range in the fulfillment center. - Contribution to return label(s)
For each return label used by a customer to send a return shipment to you, a contribution is charged. - Correction(s)
A (manual) correction that does not fall under one of the other invoice lines. - Contribution to shipping label(s)
For sending the order to the customer, shipping labels via bol were used. - Contribution to shipping label(s) Koninklijke PostNL B.V.
When a PostNL shipping label was used for shipping an order, these costs are partly reimbursed by bol, and the remaining amount appears on your invoice. - Compensation for lost items
By law, compensation is not subject to VAT and is therefore shown on the invoice without VAT.
Your Revenue
Here, a sum is made of all confirmed orders (Selling price item(s), received… ) and all returned or LIM orders (Correction selling price item.. ). Together, this forms the sum of your revenue (Total your revenue). This amount includes the VAT that customers have paid. VAT is calculated on the service between the partner and the customer. You must therefore calculate the VAT on the revenue yourself. bol cannot advise on this.
- Selling price item(s), received from buyers and to be remitted by bol
The price of the item, which bol collected from the customer. This amount includes VAT, so the partner must still remit this to the tax authorities themselves. - Selling price item(s) correction
If a customer has returned an item or a shipment has been lost, the previously paid-out selling price will be withheld.
The VAT Basis
A summary of all costs incurred, for which bol invoices VAT. The VAT basis is used for reclaiming VAT. The VAT amount that can ultimately be reclaimed is referred to as the VAT amount on the invoice. Please note! Some costs are exempt from VAT, which means the VAT basis may differ from the total costs incurred.
Advertising via bol
Are you using Advertising via bol? Then you will receive a separate invoice for this, which you can also find under the ‘Finances’ tab. An example of this Advertising via bol invoice can be found here. This invoice is therefore separate from the Sales Invoice, although they do settle with each other when possible.
So, if your revenue on the Sales Invoice is higher than your costs on the Advertising via bol invoice, those costs will be automatically settled, and you won't have to worry about it. If you have a higher outstanding amount for the Advertising via bol invoice than the revenue earned on the Sales Invoice? Then it will not be settled. In that case, you pay the Advertising via bol invoice according to the instructions provided here.
Please note! On the invoice you receive on the first day of the month, the costs of your Advertising via bol invoice up to and including the 27th of the previous month will be settled. The last 3 or 4 days of this month will be settled with the next invoice. The invoice for Advertising via bol starts on or around the 27th of the month up to and including the 27th of the following month. The exact day depends on whether a month has 30 or 31 days.
