Refurbished items

A refurbished item is a type of second-hand item that has been professionally tested, repaired, and cleaned, so that it functions properly and can then be offered for sale again. To sell refurbished items, partners must apply for selling rights. This way, we ensure that these items are offered and sold correctly.

Refurbished items

Refurbished items come from various places, such as excess stock, technical defects, or an exchange programme. Because they are not 100% new, but also not second-hand, it must be made very clear during the sale that it concerns a refurbished item. The different types of refurbished items are classified into grade A, B, or C based on their appearance.

Refurbished is often associated with phones and computers but can be used for all kinds of (electronic) items, from washing machines to pushchairs.

right now, you can only offer refurbished product range if you use the special Refurbished Offer API. We are working on making this possible via your seller account as well.

Conditions

To obtain selling rights, you must agree to the ‘Conditions of Use Professional Sales via bol’ in addition to the regular terms of use.

Furthermore, to obtain selling rights, you must also agree to the following additional conditions that apply to the sale of refurbished items:

Basic product conditions

The refurbished items must meet the following points (as stated in our general terms and conditions):

  • The items and parts have a CE marking
  • The items are GS1 registered
  • The items comply with European laws and regulations
  • The responsible economic operator for each item is known

Additional product conditions

  • The sale of refurbished items is only permitted in the product categories listed under the heading Product Range.
  • The items must be 100% functional and must not have any broken parts that affect the use and/or functioning of the item.
  • To sell refurbished items from outside the EU, you need a declaration from the brand owner with permission to sell those items within the refurbished product range and to sell them within the EU.
  • Parts replaced during refurbishment must always be CE certified and of high quality.
  • Upon bol's request, you must be able to demonstrate that and how safety and conformity are guaranteed.
  • You conduct the (functionality and/or conformity) tests yourself and do not outsource them to third parties.
  • The items have been checked, cleaned, and made fully ready for sale.
  • Where necessary, the items have been professionally cleaned and tested on various technical, software, and hardware components (including data deletion, cleaning, battery, connectivity, and display).
  • Accessories, such as chargers and manuals, etc., are not mandatory unless otherwise stated in the product category overview.
  • Items will be graded following the Uniform Cosmetic Grading conditions.
  • The following quality standards always apply; grading for the mentioned product categories is not a factor here:
    • Phones are SIM lock-free.
    • All data has been deleted from electronic devices that store data (e.g., telephones, laptops).
    • Telephones, tablets, and smartwatches have a battery capacity of at least 85%.
    • Laptops have a battery capacity of at least 80%.
    • Since 28 December 2024, USB-C is the legal standard for chargers of electronic devices. The following applies:
      • Items without a USB-C connection that have been brought to the European market before 28 December 2024, may be purchased, repaired, and resold as refurbished.
      • Repaired items must contain clear information about charging requirements, including power and compatibility.
      • The partner must possess documentation proving that refurbished devices were imported before 28 December 2024.
      • Importing devices without a USB-C connection, including the use of adapters, is prohibited.
  • The warranty of the refurbished item is equal to the warranty of a new item.
  • You handle your own warranty claims (and do not outsource this to a third party).
  • If necessary, you offer technical customer support throughout the complete warranty period.
  • Refurbished items can be returned according to bol's regular return policy.
  • Deliver items to the customer in professional packaging, while making it very clear that it’s a refurbished item.
  • Just like with regular items, you must be able to demonstrate that the items were purchased via an authorised seller. Should you offer brands after the application for which you initially did not provide documents, you may need to submit a new application. This concerns the brands on this page.
  • A quality mark or certification is not mandatory, but can serve as proof that you have met the above conditions. Moreover, some quality marks can give you accelerated access to selling rights:

Conditions for Uniform Cosmetic Grading

Uniform Cosmetic Grading means ensuring that everything looks or means the same. We use this Uniform Cosmetic Grading to divide the appearance of our refurbished items into 3 categories (grades):

  • Grade A (as good as new)
  • Grade B (lightly used)
  • Grade C (visibly used)

Please note: the grading of an item says nothing about the quality of an item; it’s only about its appearance.

Each item in your offer must correspond to 1 of these 3 grades. The detailed description of a grade may differ per product category. For example, a game console does not have a screen, while the presence of scratches on a screen is an important factor in distinguishing between grades for smartphones.

For a number of product groups, additional product group-specific conditions apply alongside the regular conditions. This is because these particular product groups sometimes require extra procedures or specific attention. Please refer to the specific product groups in this appendix.

Additional selling conditions

In some cases, your product range must meet additional technical conditions to be sold on our platform. This includes API capabilities, EAN mapping, pricing rules, and performance overviews. You can read all the selling conditions here.

Requesting refurbished selling rights via your seller account

Have you read all the abovementioned additional conditions and do you meet all of them? Then you can apply for selling rights.

To start your application for selling rights, please fill out the application form in your seller account. You can use the form to indicate which product categories you want to sell refurbished, which brands your offer includes, and which grading you will offer.

Submitting the required evidence

Please also provide the following evidence with your application so that we can check whether you meet (all) the conditions.

Upload your documents in the following format:

jpg, jpeg, png, pdf, docx, xls, or xlsx (max. 10 MB), and name it after the product category, otherwise we cannot process the application.

1. Evidence per product category

Test documentation showing how and what you tested exactly.

  • Items with software (phone, tablets & laptops): what did you use to test them and what did you test exactly?

Please note that not everything can be tested using software, and we may sometimes ask for other evidence than test reports, such as a checklist.

Purchase invoices: provide 1 or more purchase invoices listing at least 1 item. The invoices must clearly show the following:
  • The number of purchased items.
  • The (second-hand) items that you purchased.
  • An overview of the EANs (GS1 registered) with the title of the item you want to sell.
  • The total amount of the invoice/invoices (minimum total amount (excl. VAT) is €15,000).
  • Country of origin. Please note: the so-called "margin scheme" for VAT does not apply to items you purchased from outside the EU. If you purchased the items within the EU, you can apply the margin scheme, provided that you meet the other conditions for applying the margin scheme.
  • Brands: if you want to sell branded products like Apple, Samsung, Edifier, Microsoft, Jabra, Sennheiser, Fresh n Rebel, Sony, LG, Philips, TCL, Nintendo and/or Sony Playstation as refurbished, the purchase invoice(s) need to proof that a minimal of 3 different articles per brand are purchased (less than 3 is not possible).

Please note: remove or make all commercially sensitive information, such as your supplier's name, unreadable.

Photos showing what you mean by the grades of your offer.

  • At least 2 photos of Grade A
  • At least 2 photos of Grade B
  • At least 2 photos of Grade C
  • Ensure photos are taken up close so that damage is clearly visible.
    • At least 2 photos that clearly demonstrate any damages up close.

    • If applicable: at least close-up 1 photo that clearly shows the screen (and possible scratches/damage on the screen).

Please note: After selling rights have been granted, it is not permitted to sell grades for which you have not provided photos. If this happens, bol may revoke the selling rights.

2. Evidence for the entire product range

It doesn't matter how many product categories you will offer refurbished items in; provide at least 1 purchase invoice for spare parts from your 2 largest categories. The invoice(s) must clearly show the following:

  • The number of purchased parts
  • The specific parts you have purchased
  • The country of origin of the parts

Please note: remove or make all commercially sensitive information, such as your supplier's name, unreadable.

Proven market player

To ensure that you are a proven market player in the sale of refurbished product ranges, we would like to receive proof of a good reputation and track record of at least 1 year in the market for refurbished product ranges. This can be demonstrated by, for example, combined sales data, an existing web shop, or another existing sales channel (such as another platform).

Are you already selling via bol and want to start selling refurbished items? Depending on how long you have been a partner and how well you score on quality and reliability, you can start selling refurbished product ranges.

Please note: Make confidential or (competition-)sensitive information unreadable. For example: purchase prices and conditions (if not necessary for the assessment of the application). Only then can we process your application.

Granting selling rights

We will check the documents you have provided. If they meet our requirements, you will receive selling rights for refurbished items within the requested categories. If your documents do not meet the requirements, we cannot grant selling rights.

Once you have received selling rights, you may offer refurbished items. We regularly check the selling rights. Therefore, ensure that you always comply with the additional conditions. If you do not, you may lose the selling rights for refurbished items.
